AI training for employees: what works

Good AI training for employees is live, practical and built on their own work: staff learn to use tools such as ChatGPT, Claude and Gemini on real tasks, learn what company and personal data must stay out of them, and leave with a plan to keep using what they learned. One-off awareness talks rarely change how people work.

This guide is for HR, learning and development, skills development facilitators and managers planning AI training for a team.

Key facts about training your team with us

Why train employees on AI at all?

Many employees already use AI tools at work, with or without permission. Without training, two things tend to happen: some staff paste confidential information into public tools, and others give up after a few vague answers and decide AI is not useful. Training fixes both. It gives people safe habits and the skills to get answers worth using.

What should employee AI training cover?

Training a team? Your team members can join our live cohorts, which start every Monday, invoiced to your company, with safe use of company data (POPIA) built in and an attendance register and certificates for your skills records. Send a team enquiry.

Should the training be live or self-paced?

Self-paced videos are cheap and useful for background knowledge, but completion rates are often low and people rarely apply them to their own work. Live training lets staff bring a real task, get stuck, and have someone show them what to change. The breakouts and questions are where most of the learning happens. A practical mix is live sessions for the core skills, with short written guides and saved prompts afterwards.

What about POPIA and company data?

Training must tell staff clearly which information stays out of public AI tools: personal information about customers and colleagues, client confidential material, financial data and anything covered by a non-disclosure agreement. In South Africa, personal information is protected by the Protection of Personal Information Act (POPIA). This is general information and not legal advice, so confirm your obligations with an attorney. Our guide to POPIA and AI at work explains the basics.

Do we need an AI policy before we train?

It helps to have at least a short one: which tools are approved, what data may go into them, who to ask, and who is responsible for checking output. Training and policy work best together, because the policy gives staff clear rules and the training shows them how to follow them. If you do not have one yet, our guide to writing an AI policy covers what to include.

Does AI training count for B-BBEE?

Training spend on your staff can count as skills development spend on your B-BBEE scorecard, and short, non-accredited training is treated as informal training, so only part of your skills spend can come from it. It is not free and nothing is paid back. What counts for your company is confirmed by your verification agency. This is general information, so confirm with a SANAS-accredited verification agency. Our guide to B-BBEE and AI training goes into more detail.

How do we measure whether the training worked?

  1. Before: ask each person to name one weekly task they want AI to help with, and roughly how long it takes now.
  2. During: keep an attendance register and have people save the prompts they build.
  3. After 30 days: ask the same people how long that task takes now, and whether they still use the prompt.
  4. Watch for risk: track questions and incidents about data use, so the policy and training can improve.
