AI for small business owners in South Africa
Small business owners in South Africa can use AI tools such as ChatGPT, Claude and Gemini to write quotes, emails, marketing posts and simple procedures in a fraction of the time, without coding and often on free plans. The key is to start with one repeated task and keep customer information private.
This guide is for owners, sole traders and the people who run the office side of a small business.

What can a small business use AI for?
When you run a small business, you are the marketer, the admin team and the customer service desk. AI helps most with that writing and organising work:
- Customer emails and WhatsApp replies. Draft polite, clear answers to common questions, complaints and follow-ups.
- Quotes and proposals. Turn your notes into a professional quote or a one-page proposal you then check and send.
- Marketing. Write social posts, a month of content ideas, product descriptions and simple website copy.
- Procedures. Turn the way you do something into a written checklist a new staff member can follow.
- Planning. Think through a pricing change, a new service or a supplier negotiation by asking the assistant to challenge your plan.
- Learning. Get a plain explanation of something unfamiliar, then confirm the details with a professional or an official source.
The quickest way to get good at this is to do it live, with someone answering your questions. Our free workshop runs every weekend on Zoom, 12:00-15:00 SAST (10:00-13:00 UK, 11:00-14:00 CET). Save my free seat.
Which AI tool should a small business start with?
Start with whichever of ChatGPT, Claude or Gemini you can open today. They do the same broad job, and the skills carry over between them. The best way to choose is to run one real task, such as a customer reply you send often, through two or three tools and keep the one that needs the least fixing. If you already use Google Workspace or Microsoft 365 for email, check what AI features your plan includes.
Is AI expensive for a small business?
You can learn and get real value on the free plans. Paid plans add higher limits and extra features, and prices and plans change often, so check the current details on each provider's own website before you pay. Pay only once a tool is saving you time every week on a specific task.
What should a small business keep out of AI tools?
- Customer names, ID numbers, phone numbers and addresses
- Bank details, card details and account numbers
- Staff salaries and personal information
- Supplier contracts and pricing you have agreed to keep confidential
When you need help with a real case, describe it in general terms or use placeholders such as "the customer". In South Africa, the Protection of Personal Information Act (POPIA) applies to small businesses too. This is general information and not legal advice, so confirm your obligations with an attorney. Our guides to POPIA and AI at work and to writing an AI policy for a small business go further.
How do I check AI's work before a customer sees it?
- Check every price, date and quantity against your own records.
- Read the tone out loud: would you say it to this customer face to face?
- Remove anything you cannot deliver. AI likes to promise more than you offer.
- Confirm tax, legal and compliance points with your accountant or attorney, not the chatbot.
What should I do in my first week?
- List the five tasks that eat most of your week.
- Pick the one that is mostly writing, such as replying to enquiries.
- Write a prompt that explains your business, your customer and the tone you want, then paste in one anonymised example.
- Save the prompt that works and reuse it every day that week.
Owners often find that a single saved prompt for customer replies is worth more than any long course. Our ChatGPT course guide explains the prompt habits in more detail.
What should I bring to the workshop?
Bring one real task from your business, such as a quote you write often, a customer question you answer every week or a procedure you want to hand over, with customer details removed. You will build it live and leave with something you can use on Monday.
What does the free workshop cover?
Over three hours on Zoom you work through choosing the right tool, writing prompts that work, researching and drafting quickly, getting answers from your own documents, making images and slides, building your own AI assistant, automating a repetitive task, making a simple web app without code, and understanding AI agents. You leave with a 30-day plan. Our hosts have taught more than 12,000 people.
It runs every weekend, on Saturday and again on Sunday, so you can pick the day that suits you. The times are set for South Africa, and the UK and Europe times above work for learners there too.
