AI for estate agents: listings and leads

Estate agents use AI to write listings, answer buyer enquiries, follow up leads and handle the admin around a sale, so more of the day goes to viewings and clients. ChatGPT, Claude and Gemini draft from the facts you give them; you check every detail and stay responsible for what is published and promised.

This guide covers the tasks to start with, how to protect buyer and seller information, how to check AI's work, and where to learn it live for free.

Key facts about our free AI workshop

What can estate agents use AI for?

Much of an agent's week is writing: descriptions, replies, follow-ups and reports. Good places to start:

How do I write a good listing with AI?

Generic prompts give generic listings full of words like "stunning" and "nestled". Give the tool what makes this property different:

  1. The facts. Only details you have verified, from the mandate, the seller and your own visit.
  2. The buyer. "A young family moving from an apartment" or "a retired couple downsizing".
  3. The rules. "No exaggeration, no words like stunning or breathtaking, under 180 words, lead with the garden and the school nearby."
  4. An example. Paste a listing of yours that sold well and ask it to match the style.

Then read it against the facts. AI can add a feature that sounds likely but is not there, such as a pool or a view, and a wrong detail in a listing can mislead a buyer.

What client information should stay out of chatbots?

Agents handle a lot of personal and financial information. Before you paste anything in, remove:

In South Africa, the Protection of Personal Information Act (POPIA) covers this information, and agents also have duties under the Property Practitioners Act and to the Property Practitioners Regulatory Authority (PPRA). Use roles ("the buyer", "the seller") instead of names and the drafts are just as good. This is general information and not legal advice; confirm your obligations with your principal or an attorney. Our guide to POPIA and AI at work explains the basics.

How do I check AI's work before it goes to a client?

Can AI help me keep up with leads?

Yes, mostly by making follow-up faster to write. Keep a short set of prompts for the messages you send most: first reply to an enquiry, after a viewing, after a price change, and a check-in with a buyer who went quiet. Each one takes seconds to adapt. You still choose who to contact and when, and you send it yourself. Our guide to AI for sales teams covers follow-up in more depth.

Do I need special software?

No. The free versions of ChatGPT, Claude and Gemini are enough to start. Free plans have usage limits, so check the current plan details on each provider's own website before you pay. If your agency provides an approved tool, use that one. Our ChatGPT course guide covers the basics that apply to all of them.

What should I do in my first week?

  1. Pick a listing you need to write and gather the verified facts.
  2. Write it with AI using your best past listing as the example, then check it line by line.
  3. Save prompts for your three most common buyer replies.
  4. Use AI to turn one week's viewing notes into a seller update.

What does the free workshop cover?

Over three hours on Zoom you work through choosing the right tool, writing prompts that work, researching and drafting quickly, getting answers from your own documents, making images and slides, building your own AI assistant, automating a repetitive task, making a simple web app without code, and understanding AI agents. You leave with a 30-day plan. Our hosts have taught more than 12,000 people.

It runs every weekend, on Saturday and again on Sunday, so you can pick the day that suits you. The times are set for South Africa, and the UK and Europe times above work for learners there too.

Frequently asked questions

Can AI write property listings?

Yes. Give it the facts you have checked about the property and ask for a listing in your agency's style, then check every detail against the mandate and the property itself before it goes live.

Can I put buyer and seller details into a chatbot?

Not without care. Remove names, ID numbers, contact details and financial information first, and follow your agency's policy and POPIA.

Do I need to know how to code?

No. The tools work in plain language, so any agent who can write a clear message to a buyer can learn to write a clear prompt.
